The duration depends on which register holds the relevant document, whether access requires a declared legitimate interest, and how the issuing authority processes the request. What each source covers and how long retrieval takes
Polish collateral verification draws on three primary registers. Each has a different retrieval mechanism, a different statutory timeline, and a different ceiling on what it discloses.

Where timing becomes unpredictable
Electronic access to KW and KRS is fast. Delay enters the process at three points.
First, the KW number must be known before the search begins. Without it, the parcel identifier (numer działki) or the address must be matched to the register — a step that requires either local knowledge or a request to the relevant Sąd Rejonowy. That matching step is not automated in the public interface.
Second, certified extracts carry a different weight than online views. A lender or notary accepting collateral documentation typically requires a certified current extract (odpis aktualny) rather than a screen print. The Central Information Office of the KW system issues these extracts; the statutory period for issuance is defined by the Ustawa o księgach wieczystych i hipotece and implementing regulations. Processing at busy offices can approach or reach that statutory ceiling.
Third, documents filed with KRS but not yet scanned are not accessible online. Older filings, particularly those predating the digitisation programme, require an in-person or written request to the relevant registry court. Turnaround for those requests is measured in days to weeks, not minutes.
The collateral picture across multiple registers
A single register extract does not produce a collateral picture. A complete picture requires simultaneous checks across EKW, Rejestr Zastawów, KRZ, and KRS. Each check runs on a different platform, with a different identifier requirement, and returns data in Polish. The combined retrieval, translation, and reconciliation work is the substantive task.
Reconciliation matters because the registers are not synchronised with each other. An encumbrance recorded in Rejestr Zastawów does not appear in KW. An insolvency annotation in KRZ does not automatically update the KRS entry. A foreign lender reading only one source will miss what the others show.
The limit of what the sources allow
Polish official registers record what has been formally submitted and entered. They do not record informal security arrangements, side letters, or contractual restrictions on disposal that were never registered. A mortgage registered in KW is visible; a contractual pledge not submitted to Rejestr Zastawów is not. A restructuring application filed but not yet published in KRZ is not visible in real time.
The sources also do not disclose the current outstanding balance of a registered mortgage. KW shows the maximum mortgage amount (suma hipoteki) and the currency. It does not show what proportion of that amount remains drawn, or whether the underlying loan agreement has been amended. That information sits outside the register system.
For movable assets, the Rejestr Zastawów covers registered pledges. Financial collateral arrangements governed by the Ustawa o zabezpieczeniach finansowych operate outside the pledge register entirely. A clean Rejestr Zastawów result does not confirm the absence of financial collateral over the same asset.
Where the sources disagree
The most common divergence is between the KRS-registered ownership structure and the actual control structure. KRS shows the legal owner of shares. It does not show the beneficial owner. The Centralny Rejestr Beneficjentów Rzeczywistych (CRBR) holds beneficial ownership declarations, but those declarations are self-reported and are not cross-verified against KRS in real time. A discrepancy between CRBR and KRS entries is itself a due diligence finding.
A second divergence arises between the KW entry date and the actual priority date of a mortgage. Polish mortgage law establishes priority by the date of the application, not the date of entry. A mortgage entered today may carry a priority date from weeks earlier, when the application was lodged. The application date is visible in the KW file; the entry date alone is insufficient to establish priority ranking.

Certified extracts, older documents not yet digitised, and any notarial copies extend that timeline. A realistic estimate for a complete certified package is three to seven business days under normal conditions.
Does a foreign lender need a Polish representative to access these registers?
Online views of KW and KRS are accessible without registration or representation. Certified extracts from the KW Central Information Office require a formal application; that application can be submitted electronically through the Ministerstwo Sprawiedliwości portal. The Rejestr Zastawów certificate requires an application stating the basis for the request. A foreign entity without a Polish NIP or PESEL may encounter practical barriers at the application stage that a locally registered representative does not face.
What identifier is needed to search the land register?
The EKW system requires the full KW number in the format XX1X/XXXXXXXX/X. That number is not derived from the property address alone. It appears on the title deed, in the notarial sale agreement, or can be matched via the parcel number (numer działki ewidencyjnej) through a separate GIS query to the relevant Starostwo Powiatowe. Without the KW number, the register is not searchable online.
Is the Rejestr Zastawów search definitive for movable collateral?
It is definitive for registered pledges under the Ustawa o zastawie rejestrowym i rejestrze zastawów. It does not cover financial collateral arrangements, civil law pledges (zastaw zwykły), or security transfers (przewłaszczenie na zabezpieczenie). Those forms of security are created by contract and are not registered in any public database. A Rejestr Zastawów certificate showing no entries does not confirm the absence of those arrangements.
What does the mortgage amount shown in KW actually mean?
The KW entry shows the maximum secured amount (suma hipoteki) and the currency. It does not show the current loan balance, the repayment schedule, or whether any portion has been released. The full picture requires the underlying loan documentation, which is not a public record.
